The basis for the beginning of electronic administration is the digitalization of documents. The module supports the creation of the registering of both paper-based and electronic incoming documents that can be adapted to any organizational structure (either in a centralized or a decentralized way):

  • Digitalization and registering of both incoming and outgoing postal deliveries

  • Registering the documentation and generated documents connected to the products or services throughout the activity Using the other modules of our system, the registered documents enable the launching of electronic administrative procedures, their association and processing.

UNIQUE FEATURES OF SCANNING DIGITALIZATION

  • Smaller number of items: scanning is supported from the client’s side
  • Larger number of items: mass scanning of barcoded documents without a separator sheet
  • Front office operation: digitalization procedure running on Android tablets
  • Placement of scanned documents in the document management system, forms can assign metadata to scanned documents

INTRODUCING THE MASS OCR PROCEDURE

  • A barcode is placed on the document and scanning takes place with it
  • The scanner saves the document in a folder
  • A service monitors the folder, if it finds a task in it then sends it to the processing component
  • The system does the separation by recognizing the barcodes and the generated PDFs are attached to the already existing records in Andoc
  • According to the task timing, the OCR service checks whether a new document arrived in Andoc. If yes, it examines:
    • If there is a text layer, it records the layer’s content into the right spreadsheet
    • If there is no text layer, the Andoc sends it to the OCR service that does the text recognition and creates the text layer
    • The new document is given back to the service with the generated text layer
    • The service attaches it as a new version and records it in the right spreadsheet

HIPERDIGIT

The HiperDigit tool supports the digitalization of large-scale mass documents. The digitalized documents are sent to Andoc through Webservice

Some features:

  • 100 + barcode types can be set, a barcode can be defined as a separator
  • Dropping strange barcodes (e.g.: NTCA)
  • Recognition of own barcode redundancy
